Q Receptionist — a service of QD Blades LLC | Effective Date: August 1, 2026
1. Who We Are and What This Policy Covers
Q Receptionist ("Q," "we," "us") is an AI-powered phone answering service operated by QD Blades LLC, a Michigan limited liability company, and provided through app.qdblades.com. This Privacy Policy explains how we collect, use, retain, and delete information in connection with the service.
This Policy covers two groups of people:
- Clients — the businesses that subscribe to Q and configure it to answer their phone lines; and
- Callers — the people who call a phone number answered by Q on a Client's behalf.
If you are a Caller, Q handles your information as a service provider acting on the instructions of the Client whose number you dialed. The Client is the primary owner of the business relationship with you.
2. Our Core Commitment
We collect the minimum information needed to run the service, and we never sell your information and never share it with third parties for their own marketing or any purpose other than operating the service. No advertisers, no data brokers, no exceptions. Every feature we build uses Client data solely to serve that Client's own business.
3. Information We Collect
From Clients: account information (name, business name, email address, phone number), the configuration you provide so the AI can answer accurately (business hours, services, service area, forwarding number, escalation preferences), and billing information. Payment card details are collected and processed by Stripe, our payment processor; we do not store full card numbers.
From Callers: information a Caller chooses to share on a call so the Client can serve them — typically a name, a callback number, a service address or ZIP code, a description of the work requested, and scheduling preferences — together with the call recording and transcript described in Section 5.
Job-site access details: a Caller may share access information needed for the specific job requested (for example, a gate code, lockbox code, or entry instructions). We treat this information as confidential, use it solely to deliver that job request to the Client, and retain it only as part of the Client's record for that job.
Automatically: call metadata (number dialed, time, duration) and basic service-usage information needed for billing, reliability, and support.
4. How We Use Information
- To answer calls, capture leads and messages, and deliver them to the Client whose line was called;
- To schedule, check availability for, and confirm appointments where the Client enables scheduling;
- To operate, bill, secure, and support the service;
- To review call quality and improve how the assistant handles calls for that Client;
- To comply with law and enforce our agreements.
We do not use Client or Caller information to train models for other customers, to build advertising profiles, or for any purpose unrelated to providing the service to the Client. We may create and use de-identified, aggregated data — information from which names, phone numbers, addresses, and other identifiers have been removed so it can no longer reasonably be linked to any individual — to operate, analyze, and improve the service, including improving the accuracy of the assistant.
5. Call Recording, Transcripts, and AI Disclosure
Every call answered by Q begins with a disclosure that the caller is speaking with an AI assistant and that the call may be recorded. This disclosure cannot be disabled by Clients.
Calls are transcribed to create a written record for the Client. Audio recordings are kept only briefly for quality assurance and dispute resolution; transcripts are kept as a business record for the Client. Retention periods are in Section 6.
6. How Long We Keep Information
- Audio recordings: retained for up to 7 days after the call, then automatically and permanently deleted.
- Call transcripts: retained for the life of the Client's account as part of the Client's business records.
- Leads, messages, and account data: retained for the life of the Client's account.
- After cancellation: all of a Client's data — including transcripts, leads, messages, and configuration — is permanently deleted within 30 days of account cancellation, except where a legal obligation requires longer retention (for example, billing records required for tax purposes).
7. Who We Share Information With
We share information only with the service providers required to operate Q, each bound to use it solely to provide services to us:
- Telephony carrier (Twilio) — to connect calls and messages;
- AI voice provider (xAI) — to conduct the conversation in real time;
- Cloud hosting and database providers (Supabase, Vercel, Fly.io) — to run the application and store data;
- Payment processor (Stripe) — to handle billing;
- Email delivery provider (Resend) — to send account and notification emails.
We may also disclose information if required by law, subpoena, or court order, or to protect the rights, safety, or property of our Clients, the public, or Q. We do not otherwise share information with anyone.
8. Text Messaging
Where a Client enables it, we send text messages to Callers on the Client's behalf — for example, confirming that a request was received, delivering a missed-call follow-up, or confirming an appointment. Consent to receive these messages is captured during the call and logged with a timestamp.
Callers may opt out at any time by replying STOP to any message, and may reply HELP for assistance. Opt-out requests are honored automatically and immediately.
Mobile phone numbers and SMS consent information are never sold, and are never shared with third parties for marketing purposes. They are shared only with the telephony provider needed to deliver the message. Message and data rates may apply.
9. Google User Data (Calendar Integration)
If a Client connects a Google Calendar to enable scheduling, Q accesses only the calendar data needed to check availability and create or update appointments at the Client's direction. Q's use of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements. We do not transfer Google user data to third parties except as necessary to provide the scheduling feature, do not use it for advertising, and do not allow humans to read it except with the Client's consent, for security, or to comply with law.
10. Your Choices and Rights
- Clients may access and update their account information at any time, and may request deletion of their data by cancelling the account or contacting us; deletion is completed within 30 days.
- Callers may request deletion of their information by contacting the Client they called or by contacting us directly at the address below; we will honor verified requests within 30 days, subject to the Client's legitimate business-record needs and applicable law.
11. Security
We use industry-standard safeguards to protect information, including encryption in transit, access controls that limit each Client's data to that Client, and role-restricted administrative access. No system is perfectly secure; we will notify affected Clients of any breach as required by law.
12. Children
The service is designed for business use and is not directed to children under 13. We do not knowingly collect personal information from children. If we learn we have done so, we will delete it.
13. Changes to This Policy
If we make material changes to this Policy, we will notify Clients by email or in-app notice at least 30 days before the changes take effect. The "Effective Date" above reflects the current version.
